How to add templates to your account and perform basic customization.

Document templates are pre-built "forms" that are a starting point for new client documents. Templates can include chart notes, online forms, electronic agreements, client goal summaries, and doctor's letters.

When you set up your Kalix account, you will select the templates you wish to use.

Setting up document templates is a one-time setup step. Once done, your templates can be used to create all future client documents.

Template Library

The Kalix Template Library contains ready-made templates that you can add to your account and customize to meet your practice's specific needs.

Available templates include chart notes, online forms, electronic agreements, client goal summaries, and doctor's letters.

Every template is fully customizable, so they can be modified to meet your practice's specific needs.

Please note customization is optional. All are ready to use right away.

​Alternatively, use Kalix's Template Builder to create your own templates from scratch. Kalix also has a preloaded "basic document" available in your account under System Templates.


Accessing the Template Library

To access the template library, hover over the Documents tab on the menu bar and then click Document Templates.

Now you are on your account's document template page, select the plus icon. You have the option to build your own template from scratch using the template builder or copy templates from Kalix's template library.

The workflow to access the template library is shown below.

Templates in the template library are grouped under different categories. Click on a category to view the individual templates.

Some of the most popular templates are saved under the "Getting Started" category.


Copying Templates to Your Account

The Kalix Template Library is a shared place. All Kalix customers have access to it. To use a template, you must first copy it to your account.

Click on the name of a template to view it. Select the Copy to My Account button to save it to your account.


Editing a Document Template

Once you have saved your template into your account, it is available to edit and customize. You do not need to go back to the template library again to access this template. It is available anytime to modify via your account's document template page.

Simple template customization can assist with making documentation more efficient. Customization can include removing questions that do not apply to your practice and changing the order of questions to reflect your appointment procedure.

Note: all templates in the template library are ready to use immediately. Customization is optional.


Element Types

Templates are made up of different parts called elements. There are several different term types in Kalix. Click on the links below for additional information about each element type.

Each element can be edited in several different ways. The edit options available will vary per element type.

If you hover over the upper right of an element, you will see the supported edit options.


Deleting Elements

To remove an element, click on the trash can (supported for all element types).


Advanced Options

The gears icon contains several "Advanced options" that provide additional settings to modify the element's functionalities.

The advanced options vary between different element types.

At the template on a template, there are also template-wide advanced options.

Editing Elements

The wording, field types, and layout of elements (supported for text blocks & custom elements only) can be modified using the edit icon.

Moving Elements

Kalix allows you to reorder elements within a template (all element types supported).

Step 1: Click on the 'move' icon on the applicable element.

Step 2: Hold on to the move icon and scroll up or down to where you wish to move the element.

Step 3: Drop the element onto this location. Done!


Adding Elements

New elements can also be added to document templates.

Step 1: Select the element type you wish to add under the Add New Elements column.

Step 2: Drag the element into its desired location (as shown below).

Step 3: If adding a Client Detail, Auto Calculation, or Grow Chart element, use the drop-down box to select the option you wish to use.

Step 4: In the case of the custom element, use the search bar to search by name to find an element.

Creating Elements

Kalix allows you to create your own custom elements. This is useful if you wish to add your own questions to a document template.

Once you have created a custom element, it can be added to any document template. Custom elements are not specific to a particular template.

Custom elements can be edited and updated at any time.

Saving

When you are happy with your template, click the Save button (fixed to the bottom of your template). There will be three different save options.

Save: click to save changes. The template will remain open for ongoing editing. 

Save and Close: save and close the template. Kalix will close to your doc template page.

Duplicate template: this will only appear if the template has already been saved at least once. Kalix will save your current version as a brand new template and keep the previously saved version as a separate template. 


Using your Template to Create a New Document 

To create a client document using your created template, click on the purple search icon on the far left. Use the search field to find the client by name. Once the client is selected, click on New Document.

The New Document screen will appear. Choose the type of document you wish to create by selecting your template.
