The Video Element (Documents & Templates)

The Video Element is a versatile tool that allows you, as well as third parties, such as clients, to share videos via Kalix's documents and templates, i.e., online forms.

Sharing videos fosters a more interactive and accessible experience by enabling on-demand viewing, client education, and training. It ensures consistent and thorough instruction while maintaining HIPAA compliance and security standards.

Its practical uses can include:

  • Simplify Complex Information: clarify treatment plans and procedures with visual aids.

  • Enhance Client Engagement: Send video messages that improve understanding and foster better client relationships.

  • Foster Interactive Learning: Provide on-demand viewing for client education.

  • Client Education: demonstrate exercises, dietary plans, or medical procedures to enhance client understanding.


Stage 1: Account Set-up For Video Sharing

Elements are the sections that make templates and documents in Kalix. There are several different element types in Kalix, including video elements. The video element can be added to new templates created via the Template Builder, existing templates in your Kalix account, or copied from the Template Library.

There is also a basic video-sharing template available in the template library. It is under the category Getting Started Common Templates.


Video Storage Blocks

Video storage blocks are used to store and maintain video files uploaded to Shared Uploads, Documents & Templates, and telehealth video recordings (Coming Soon).

The Virtual Practice Plus (Coming Soon) plan includes 10 hours of video storage. All plans can subscribe to additional storage now. Each block of storage equals 10 hours stored on an ongoing basis.

When first subscribed, each storage credit is charged pro-rata for the current billing period and then included in your regular Kalix subscription charge. You can modify your subscribed storage blocks as needed.

Video Storage Blocks are only required if you store video in Kalix; they are not needed if you share videos using an embedding URL (see below information about "Embedding Videos" for details).

Video Storage Blocks can be purchased via the Subscription page or the video section of Shared Uploads.


Stage 2: Template Creation & Setup

Adding a Video Element to Documents & Templates

You can easily modify your existing documents and templates to include videos.

1) Open the document or template you wish to add the attachment to.

2) From the Add New Elements column, drag the video element to its desired location on the document or template (as shown below).


Adding Video Files

Now, to add a video, follow the steps below:

1) Click on the "Add Video" button

2) The pop-up window below will appear.


​3) There are three different options for adding a video:

  • Embed Video: This option does not use video storage blocks so that it can be utilized at no additional cost.

  • Shared Uploads: Allows you to select a video already stored in your Kalix account via the Shared Upload page.

  • From Computer: Upload videos directly from your computer to the document or template.

4) Once you have made your selection, click Save. The video will be added to your document/template.

Embedding Videos

Embedding videos is a simple and effective way to share video content within your Kalix documents and online forms.

When you embed a URL, you insert a link that directly points to a video file or an online video hosted on platforms like YouTube, Vimeo, Wistia, Loom, JWPlayer, Brightcove, Guidde, Screenpal, or any other video hosting service. This link allows clients to view the video content without leaving the current document. It also does not use video storage, so it has no additional cost associated with it.

2. Copy the video URL you want to share from your preferred video hosting service. An example of obtaining this for YouTube is shown below:

2. Paste the URL into the Embed Video tab of the Select a Video window.


Using The Video Element To Receive Videos for Clients

An alternative use for the video element is to add it to a template empty (without any embedded videos). When the template is used to create and share an online form, the video element will show as a button "Add Video." You can use this to allow your clients and other third parties to upload and share videos with you via online forms. ​

Note: We recommend adding instructions (an example below) via a free text field if requesting clients or other third parties to upload files.


Advanced Options

Advanced options provide you with additional settings to modify template functions.

The advanced options can be found at the top of the document template and

on the top right of each template element.

Specific functionalities that are useful for video sharing are:

Template Level

Advanced options that control the way the created documents function as a whole. They are located at the top of the template.

Allow Sharing (Required)

This option must be enabled in order to share the video externally with clients.

Read Only When Shared (Template Level)

The "Read-Only When Shared" feature allows you to send a document with an embedded video in a format that prevents the recipient from making any modifications. This is particularly handy when sharing resource materials that don't require any input from the client (i.e., not an online form).

Additionally, activating this feature will hide the submit button when the document is shared with a client, ensuring that it remains in a view-only mode.

Element Level

These advanced options only affect the functionality of a specific element on which they are located. Are found at the top right of the element.

Element Not Visible Externally

This option hides the embedded video elements from being visible on both Word/PDF exports and when the document is shared with the client. An example of its utilization could be adding an instructional video for internal staff viewing while keeping it hidden from clients.

Read-only When Shared

This restricts the video to read-only mode when shared with clients, preventing them from deleting or replacing the video.

Required (only when a video is not embedded)

If you are using the video element to collect videos from clients (rather than share videos), enabling the "Required" function will ensure that the client uploads a video before the form can be submitted. If a video is not uploaded, Kalix prevents submission and displays an error message.


Stage 3: Video Sharing

Video Sharing Mechanism

Clients receive a secure web link and access code via email, SMS, or text-to-voice, which is their temporary login and password to unlock the video containing the document. The documents are viewed within an encrypted, HIPAA-compliant environment.

The link and code are valid for 14 days, during which the document can be edited (if applicable) and auto-saved after each field completion. If there's an internet disruption, Kalix locks the document until auto-saving is restored. Upon completion (if applicable), clients submit the form, losing access immediately afterward. You can also remove access before the 14-day period.

Share Documents through Appointment Messages

Kalix can automatically share with clients - online forms, electronic agreements, and other documents as part of appointment messages (appointment notices and reminders).
