We know that tracking customer attendance, cancellations, and no-show rates is a huge part of managing and understanding your appointment business. That's why we offer an Appointment Reporting feature designed to give you access to powerful insights and keep track of your total workload.
Using Appointment Reporting
To access the Appointment Reports, select Appointments on the menu bar.
The calendar will show up. On the header, you will see two additional tabs. Click on Reports.
The Reports Section displays an overview of the stats for how your appointments have performed over a selected time.
It also lists all the appointments within this time period.
Filters
You can use the filters to select what you wish to see in your report. You can filter by Appointment Types, Clients, Clinicians, Locations, Billing Status, Appointment Statuses & much more.

Using Client Reports to Track Your Client Base
Client Reporting
Client reporting helps you keep track of your client base, offering insight into their demographics, activity, and more. Knowing this information can allow you to make more informed decisions about your business to serve your clients better and reach your goals.
Client reporting gives you insights into your client base. It can detail client demographics, active/inactive clients, new clients, and more.
To access the client report:
Click on 'Clients' on the menu bar.
Then, select 'Clients'.
Filters
You can filter the data by the birthday, assigned clinician, active status, insurer, referral source (linked contact), last appointment date range and more. Kalix will list the number of clients that meet the selected criteria at the top of the page.
Exports
Data from all filtered clients can be exported in CSV format for further analysis (using the Export button). Information includes date of birth, zip code, city, state, sex, gender and more.
Contact Reporting
Contact reporting allows you to manage all your contacts effectively.
Accessing Contact Reports
To access the contact report, folllow the steps below:
Click on the Clients tab in the top menu, then the subtab Contacts.
Filter Options
When viewing the Contact Report, you can filter results by contact type (i.e., parent/guardian, physician, therapist, diabetes educator, nurse practitioner).
Kalix also allows you to search for contacts by name, organization, email, and phone number.
Exporting Contact Report Data
Data from all filtered contacts can be exported in CSV format for further analysis (using the Export button). Information includes organization, qualifications and profession.
Referrals & Diagnoses
Referral/diagnoses reporting provides information about source of client referrals, referral dates and diagnosis codes associated with your clients.

To access referrals & diagnosis reports:
Click on 'Clients' in the main menu.
Then, select 'Referrals & Diagnosis'.
Filter Options

You can access billing reports to view information about the amount billed for, payments received and outstanding amount owed. Easily export this information to CSV (Excel) files for further analysis or upload into your accounting software.
