Kalix allows you to upload and save files against your account. All major file types are accepted (e.g. word documents, PDFs, images). Uploaded files are stored in an HIPAA compliant environment plus we offer unlimited data storage, so there is no limit to the number or size of files you upload.

There are three options when uploading a file: 

  1. Upload and save it directly against a client's record
  2. Upload and save it generally against your account
  3. Upload and save against a specific document or template.

General Document Uploads

Kalix offers you the ability to upload and save files generally against your account (not associated with a particular client). General files can include (but not limited to) client handouts, marketing material, assessment forms, questionnaires, anything you need to successfully run your practice. Uploaded documents can also be shared with other members of your organization. 

Location

To access general document uploads, click on Docs on the top header, and then select the sub tab Uploads. 

Uploading Files

1) To upload files, simply drag and drop any file onto the page. 

Alternatively, click on the Upload Files link and the Open file window will appear. Now select your chosen documents (hold Control/Command) to select multiple items) and press Open. 

2) Uploaded files will be listed in the pop-up window.

3) You will be able to enter a category to save these files under. The file name and date can be edited and a description can be added. 

4) If you would like to upload additional files, click on the Add More button as shown below. 

5) Once you are done click Scan for viruses and Save. 

Editing Uploaded Files

To edit an uploaded file e.g. add/modify its name, description, date, click on the edit icon as shown below.

To delete, click on the trash icon. 

Uploading Files Against Client Records

Kalix also allows you to upload and save files directly against clients' records. Files can include (but not limited to) scanned documents, image files and completed forms. 

Location

1) To upload a file against a client's record, navigate to the particular client's record (Hover your cursor on Clients on the top header, then select the subtab Clients, now select your particular client's record). 

2) The document upload is located on the Client Cover Page (first page of the client's record), under the subsection Documents (second section, right after Appointments).

Uploading Files

1) Click on the Upload File link as shown below. Alternatively, simply drag and drop any file onto the page.

2) Now select your chosen documents (hold Control/Command) to select multiple items) and press Open.

3) Uploaded files will be listed in the pop-up window. 

4) You will be able to enter a category to save these files under. The file name and date can be edited and a description can be added.

5) If you would like to upload additional files, click on the Add More button as shown below. 

6) Once you are done click Scan for viruses and Save. 

Editing Uploaded Files

 Uploaded files are listed in the table, click on the tick box - Group by Category,  to see everything ordered into categories.

To edit an uploaded file e.g. add/modify it's name, description, date, click on the edit icon as shown below. To delete, click on the trash icon.    

Uploads Against Documents & Templates

Using the term type Uploads Kalix allows you and third parties e.g. clients, referring physicians, to upload files and images against docs and templates. Uploaded files can be shared with other clinicians or clients (and other third parties) via online forms
