Sharing/Receiving Uploaded Files with Clients & Contacts via Email (Email Attachments)

How to share and receive files and attachments with clients & contacts via email or text message.

For security purposes, if you would like to share attachments with clients or contacts through email or text message, you need to send them via the online documents. This is so the attachments are sent in an encrypted way.

Uploading Documents to Client's Chart

To share a document with a client, you must upload the document to the client's chart first.

To upload the document to the client's chart:

  1. Open the client's chart on the cover page.

  2. Scroll down to the document's section.

3. Click on Upload

4. Choose the document you wish to share. A window will then open for you to give the document a category name and change the name if needed. Once this is completed, click scan for viruses and save.

If you wish to add more documents, click on Add More.

5. Once the document has been uploaded now you can share it with the client via messages.


Sharing documents via the Client's Cover Page

1) To share attachments, the first step is to open the client's file.

2) Upload the document under the document section of the chart. (Follow the steps mentioned above)

3) Scroll down on the cover page and go to the Documents Section.

4) Click on Share Documents.

5) Choose Existing Client Documents

6) You may arrange your documents by category and choose the document you wish to share.

If you don't have the documents in categories, scroll down until you find the document you wish to share and select it.

​7) After selecting all the documents, click Share.

8) Choose the method you wish to share the documents, be email or SMS.

You may then personalize the message if you wish or use the default wording as it appears in the body of the message.

9) When you are ready, click Send.

This is the workflow as described above.

Alternatively, you can share the documents by clicking on Share Documents on the left of the Client's Chart.


​Sharing documents via Client Messages

To share a document directly via messages, first, upload the document on the client's cover page in the Document Section.

2. Click Upload

3. Choose the document you wish to share. A window will then open for you to give the document a category name and change the name if needed. Once this is completed, click scan for viruses and save.

If you wish to add more documents, click on Add More.

5. Once the document has been uploaded now you can share it with the client via messages.

6. Go to the Messages section of the client's chart. Then click on Messages.

Click on the Plus Sign and choose Share Documents.

Choose Existing Client Documents.

7. Select the document you wish to share. Then click Share.

8. Choose the method you wish to share the documents, be email or sms.

You may then personalize the message if you wish or just use the default wording as it appears in the body of the message.

9. When you are ready, click Send.


  Sharing Attachments with Contacts from the Client's Chart (e.g. Referring Providers) via Email or Fax.

1) To share attachments, the first step is to open the client's file.

2) Scroll down on the cover page and go to the Documents Section.

3) Click on Share Documents.

4) Choose Existing Client Documents

5) You may arrange your documents by category and choose the document you wish to share.

If you don't have the documents in categories, scroll down until you find the document you wish to share and select it.

6) After selecting all the documents, click Share.

8) Select Contact in the pop-up window.

9) Search the Contact and select the messaging method, ex. Fax.

You may then personalize the message if you wish, or just use the default wording as it appears in the body of the message.

10) When you are happy with your message, click Send.


Setting-up Templates with Attached Files 

If you are sharing the same attachments regularly, you may wish to upload these attachments to your own document template and save. When creating a new document using these newly created templates, the pre-uploaded attachments will be automatically uploaded. Share documents as described above.

Receiving Files From Clients and Contacts

Using Kalix, clients and contacts can easily send you attachments via email. They must email the email address associated with their Kalix account (find this under messaging settings). Alternatively, they can reply to any email message sent via Kalix (appointment notices, appointment reminders, billing & late payment reminders, and ad hoc messaging).

The attachments are sent directly to your Kalix account and not via email. You can transfer the attachment to the document section of their cover page.

The files will be saved against the messaging section of the client's or contact's file.

Click on the attachment's name to download.

It is also available in your Messaging Inbox.

You can directly transfer the attachment to the client's or contact's document section. To do this, click on the Share icon.

The Transfer Attachment window will appear.

Could you complete the necessary details and click Copy.

 The file will be copied to the Document section of the client's cover page.  


  Sharing Attachments via Telehealth

Kalix allows you to share documents during a Telehealth session.

The client will have to access the document and download it prior to ending the session as it will disappear when the Telehealth session ends.

Steps:

1. During your Telehealth Session click on the 3 dots. Then click on Share a File.

2. Select the source of your documents from the Pop-up window.

You may choose Shared Uploads (documents you have saved in your Kalix), from Client Uploads or from your computer.

3. Click on the file you wish to share.

The file you shared will show up on the chat and the client should be instructed to download and save prior to ending the Telehealth session.
