Sync your Kalix calendar with Google Calendar to view your appointments and personal events all in one place. Choose between a one-way or two-way sync, select which calendars to sync, whether to display clients' names and how synced events are displayed.

If you have a group practice in Kalix, each provider can set up their own Google calendar sync.

Please note, that the Google Calendar integration will only sync your appointments from Kalix. If you need to sync other providers' appointments, please use the iCalendar sync instead.

Google Calendar Sync supports two different options:

A. 2-way sync - your appointments from Kalix will sync to Google Calendar, AND your events from Google Calendar will sync back to Kalix.

B. One Way Sync - if you only want your appointments from Kalix to sync to Google Calendar.


Steps for the Two-Way Sync to Google Calendar

  1. To set up, navigate to the Calendar Sync page under Appointments and Calendar.

2. In the section Google Calendar Sync, click on the switch to enable

3. In the pop window, choose whether you would like to set up a one-way or two-way sync.

As mentioned, the two-Way Sync allows your appointments from Kalix to pull to Google Calendar, AND your events from Google Calendar to push back to Kalix.

Check this option and then choose sync.

4. Sign into your Google account.

5. On the permissions page, select Continue.

You will return back to the calendar sync page.

The calendar options (or settings) for the Google Calendar sync are now available.

6. Once you have set up the calendar options, click save. The two-way sync is now complete.


Calendar Sync Options

The calendar options are broken down into two different groups - settings for the sync of Kalix appointments to Google Calendar and those for the sync of Google Calendar events back to Kalix.

  • Show Client Names: Kalix allows you to turn off the sharing of clients' names to Google Calendar. This means calendar entries sent to Google, will include appointment type and location, but not the clients' names.

Note: For HIPAA compliance, you must have a business associate agreement (or BAA) with Google, before enabling the sync of client names to Google Calendar.

Options under the sync of Google Calendar events to Kalix include:

The choice of which google calendars to sync and the appointment type Kalix saves

the synced Google events as. You can select any non-client-related appointment type

already set up in your Kalix account - such as events or unavailable. Or you can

create a new appointment type. For more information about this, please click on the

The One-Way sync to Google Calendar

Select the one-way sync if you only want your appointments from Kalix to sync with Google Calendar - there is no sync of Google Calendar Events back to Kalix.

The workflow is very much the same.

  1. Click that you wish to use a one-way sync and then choose sync.

2. Sign into your Google account, and on the permissions page, select Continue.

3. You will return back to the calendar sync page. The calendar options for the Google Calendar sync are now available.

Because it is a one-way sync, there are fewer options - those related to the sync of Kalix appointments to Google. When you are done, click save.


Disabling the Google Calendar Sync

To disable your Google Calendar sync, turn off the sync switch, then click Disable on the pop-up window.

Once disabled, if using a two-way sync, all previously synced Google Calendar events will be deleted from your Kalix calendar.

Instantly, Kalix will stop sending your appointments to Google. However, to remove existing Kalix appointments synced to Google Calendar, please delete the calendar labeled "Kalix" within Google Calendar itself.


Google Calendar Sync & HIPAA Compliance

If you use Kalix in the US, special consideration must be given when using the Google Calendar Sync. HIPAA requirements apply if choosing to display clients' names as part of this functionality. Clients' names are classified as Protected Health Information (PHI).

Google has the security certifications for HIPAA compliance and will enter into a Business Associate Agreement with users who have an Administrator account. The BAA covers services including Gmail, Google Calendar, Google Drive, and Google Apps Vault services (Google's online documents, spreadsheets, and presentations). For more info, please click here.

Kalix also allows you to turn off the sharing of clients' names to Google Calendar. This means calendar entries sent to Google, will include appointment type and location, but not the clients' names.

Under Calendar options, unselect Show Clients Name.
