Sending Attachments to Clients & Contacts

For security purposes, if you would like to share attachments with clients or contacts you need to send via the online documents. This is so the attachment is sent in an encrypted way.
    

The below video goes over the process of setting up a document sharing template, how to use it to send files to clients, the client receiving these files and re-uploading (if required) completed files as well as how the clinician views the client send files.
    

    

Sharing Attachments with Clients via Email

There are templates available as part of the Template Library, which you can use to share attachments. Please copy one to your Kalix account.
    

    

1) To share attachments, first step is to open the client's file.
    

   
2) Now create the document as you would normally. Select the template you copied from the template library.
    

3) In the document, click on the Add File/Images and upload your attachment/s.
    

    

4) Click Save.
    

    

5) The page will refresh. You will notice the appearance of two buttons.
       

    

6) In the pop up window select email as the sending method.
        

   

7) Click Send
   

Sharing Attachments with Contacts (e.g. Referring Providers) via Email

There are templates available as part of the Template Library, which you can use to share attachments. Please copy one to your Kalix account.
    

    

1) First step is to open the client's file that you are communicating about.
    

    

2) Now create the document as you would normally. Select the template you copied from the template library.
    

3) In the document, click on the Add File/Images and upload your attachment.
    

    

4) Click Save.
    

    

5) The page will refresh. You will notice the appearance of two buttons.
    

    

6) Click Send Document. The Send Message pop up window will appear.
    

7) In the Send Message pop up, select the Contact radio button.
    

8) Use keywords to search for the contact by name.
    

    

9) In the pop up window select email as the sending method.
    

    

9) Click - Send.
    

10) Kalix will display the sending status of the message.
    

Setting-up Templates with Attached Files 

If you are share the same attachments regularly, you may wish to upload these attachments their own doc template and save. When creating a new document using these newly created templates, the pre-uploaded attachments will be automatically uploaded. Share document as described above.
    

Receiving Files From Clients  and Contacts

By replying and uploading attachments to any email message (appointment notices, appointment reminders, billing & late payment reminders and ad hoc messaging) sent from Kalix via our messaging feature, your clients and contacts can share files with you.
  

The files will be saved against the messaging section of the client's or contact's file.
  

  

Click on the link to download.
  

  

It is also available in your Messaging Inbox.
    

   
From the Messaging Inbox you are able to directly transfer the attachment to the document section of the client's or contact's file. To do this click on the Share icon.

The Transfer Attachment window will appear.
    

 Complete the applicable details and click Copy.
    

    

 The file will be copied the Document section of the client's or contacts Cover Page.
