Messaging Methods

Kalix's messaging feature supports 4 different communication methods; efax, email, SMS (text messaging) and text-to-voice (voice messaging).

Kalix allows you to send messages to Clients and Contacts using a choice of four different methods; fax, SMS (text messages), text-to-voice (computer-generated voice messages), and email.

Fax

Kalix allows you to send faxes to both clients and contacts. Faxes can include documents, chart notes, client summaries, doctor's letters, attachments and more.

Kalix also supports receiving faxes from clients and other healthcare professionals directly within your Kalix account via the Messaging Inbox.


SMS Messages

SMS sends text messages to cell phones via the regular SMS cell phone network. Messages can be unlimited in length. Clients or contacts can reply to your messages, as well as contact you at any time (by replying to a previous message). You can view your received messages within Kalix. You will receive an email notification when a new message is received. Text-to-voice Messages

Automatically turns written text into voice messages, allowing you to sent messages to landline phones as well as cell phones. Kalix offers you the ability to choose the accent and gender of the voice. 

Clients can only respond to automated messages (appointment reminders, appointment notices, billing reminders, and late payment notices). Manual text-to-voice messaging (online forms, electronic paperwork, communication with other healthcare providers, and ad hoc messaging) does not currently support responses. Client response options are included as menu options at the end of the message (these include the ability to confirm or cancel the appointment and to connect the call to your office number.) Clients make their choice by entering the corresponding number on the phone keypad. You can choose which menu options you wish to enable. If the text-to-voice phone call is missed, Kalix will leave a message containing a phone number to call back on. The receiver can call back at their convenience and listen to the entire missed message. If the missed message is an appointment reminder, appointment notice, billing reminder, or late payment notice, and client responses are enabled, the client will be able to choose menu options as per normal. 


Email Messages

Kalix sends messages to valid email addresses. Clients can reply to email messages and you receive the response within Kalix. You will receive an email notification when a response is received.

Kalix's email messages are encrypted in transit between Kalix and our third-party provider. Our HIPAA compliant third-party email provider encrypts data at rest (in storage). When transmitting emails to your clients and contacts, by default, our third-party provider uses TLS (Transport Layer Security). They also check the validity and legitimacy of the mail server’s certificate. In situations where your clients' or contacts' email provider doesn’t support TLS, they fall back to sending messages un-encrypted (so messages are successfully received). 

Kalix does not send forms or documents via email but instead uses a weblink (the weblink can also be sent via text-to-voice or SMS) along with a code to unlock the form or document.
