How to securely share invoices, bills and receipts via email, text message, text-to-voice, and fax and collect payments online.

Updated over a week ago

Invoices, superbills and receipts generated in Kalix can be easily shared with clients via email, text message, text-to-voice, and fax. Used alongside Kalix's payments functionality, you can also offer clients the capacity to pay shared bills online.

Kalix collects credit card payments online via our integration with Stripe and Square. Stripe and Square are very popular mobile payment solutions. Connect up your existing Stripe or Square account to Kalix for seamless charging. If you are not set up with Stripe or Square yet, you also can create a new account from Kalix.

Kalix also supports collecting in-person payments. For more information, please click here.

When first starting off using Kalix, to use the program most efficiently you must set up your Kalix account. To share invoices and accept payments online, you need to enable Kalix's Messaging feature and link-up your Stripe or Square account to Kalix.

Creating Invoices, Superbills or Receipts

Once your account is set-up, create the bill as per normal. For detailed instructions about creating bills, please click below.

Sharing Bills

Once the bill has been created, click Save at the bottom of the page. Kalix will save and close to the bills Payments page. Scroll down to the bottom of the page and click Share, followed by Send.

The Compose Message window will appear. Choose the method you would like to send the message using as shown below.

You can also personalize the message's contents by typing in the text editor.

Please note: all text in brackets [ ] are merge fields. Kalix will auto-complete these values as the message is sent out.

When you are happy click send.

Clients Viewing Invoices/Receipts & Paying Online

After sharing a bill, the client will get an email message like the one below.

When they click on the link provided in the message, they will be taken to a page where they enter their security code (contained in the email message).

After entering the security code, clients can view and download their invoice/receipt online.

By clicking Pay Now (if there is an outstanding payment), they are able to enter their credit card details to pay online. Clients also have the option of saving their credit to their file in Kalix for your future use.

Your payment gateway (Stripe or Square) will send you an email notification when the payment is made.

Kalix will automatically record the payment and close off the bill.
